Eligibility
Refunds apply to consultation fees you have paid to the Company for sessions that have not yet occurred, subject to the timelines below. Deposits noted in your engagement letter follow the same rules unless that letter states otherwise.
Cancellation by you
- More than 72 hours before a scheduled session: full refund of fees paid for that session.
- Within 72 hours: one free reschedule is offered; if you cancel outright, a 25% administrative retention may apply to cover reserved planner time (proposed).
- No-show without notice: fees for that session are non-refundable.
Cancellation by us
If we must cancel, you may choose a full refund or priority rescheduling at no extra charge.
Work already started
If deliverable work (custom models, written plans) has begun with your approval, fees for completed phases are non-refundable. Partial refunds may be considered for unused phases only.
How to request a refund
Email info@utilitytrailbase.click with your name, session date, and payment reference. We respond within five business days (proposed).
Processing
Approved refunds are returned via the original payment method when possible, within fourteen business days (proposed). Bank fees charged by third parties may be deducted where permitted by law.
Rescheduling
One reschedule per booking is included if requested at least 48 hours ahead (proposed). Additional changes may incur a rescheduling fee stated in your confirmation.
Exceptions
Force majeure events (severe weather disrupting travel, government restrictions) are handled with good-faith rescheduling; refunds are considered when rescheduling is not practical.
